How a real estate agency can answer WhatsApp leads at night
A step-by-step setup: the WhatsApp Business Platform, an automation workflow, AI replies in the client’s language, a clean handover to a human and a report at 08:00.

A buyer in Paris finishes work, opens WhatsApp and asks about your villa in Tangier. It is 23:40 in Morocco. If the answer comes at 10:00 the next day, the conversation has often already moved to another agency.
You do not need a night shift to fix this. You need a well-designed workflow. Here is how to build one, step by step, with honest limits.
1. Move the number to the WhatsApp Business Platform
The free WhatsApp Business app is built for people typing by hand. Automation runs on the WhatsApp Business Platform, the API that Meta offers directly or through approved providers. Messages arrive on a server you control, which can reply, store and route them.
Before you switch, check which number you will use and who in the agency owns the Meta business account. That owner should be the agency, not a freelancer.
2. Learn the 24-hour rule
When a client writes or calls, Meta opens a 24-hour customer service window. Each new message from the client resets the timer. Inside that window you can send normal, free-form replies. Outside it, you can only reach the client with pre-approved template messages.
Since 1 October 2026, free-form replies (Meta calls them service messages) are charged after the first 1,000 per business number each month. Rates depend on the country. Keep replies useful and grouped, not split into five short bubbles.
3. Build the workflow
A night-time lead flow has five links:
- Receive. The platform sends each new message to your workflow (a webhook).
- Understand. Detect the language and what the person wants: buy, rent, visit, price.
- Look up. Fetch the listing from your live data, not from memory.
- Reply. An AI model drafts a short answer within strict rules.
- Record. Save the lead, the conversation and the next step.
You can assemble this with an automation tool or with your own code. What matters is that every step is logged, so a person can check what happened.

4. Answer in the client’s language
In Morocco, a single agency receives French, Arabic, English and Darija, written in Arabic or Latin letters. The reply should mirror the client: same language, same alphabet, similar tone. Set firm rules for the AI: short answers, no invented prices or availability, and a clear “an agent will confirm tomorrow morning” when data is missing.
Tell clients they are talking to an automated assistant. Honesty builds more trust than pretending.
5. Qualify gently, then hand over
Three questions are enough at night: budget, city or area, and timing. Add the purpose when relevant: to live in, to rent out, or for holidays.
Define when the assistant stops and a human takes over: the client asks for a person, wants to negotiate, raises a complaint or a legal question, or is ready to visit. Anthropic’s guidance on AI agents recommends exactly this kind of human checkpoint and clear stopping conditions.
Also keep the assistant on topic. Since 15 January 2026, Meta’s terms bar general-purpose AI chatbots from the WhatsApp Business Platform, while assistants that serve a specific business purpose, like answering about your listings, remain allowed. Check Meta’s current terms before you launch.
6. Log every lead
Each conversation should create or update one record: name, number, language, need, budget, listing, status and next step. In Morocco, Law 09-08 governs personal data: automated processing must be declared to the CNDP before it starts, and people must be informed of the purpose. Ask a qualified adviser to confirm your obligations.
7. Send a morning report
At 08:00, the team should receive one short list: who wrote, who is ready, who needs a reply today and which follow-ups are due. Each line should open the right conversation in one tap. That is how night work turns into morning action.
What it costs, honestly
Expect three costs: Meta’s per-message fees, which depend on the country; the software or provider; and the time to set up and review. Start with one number and one month, then measure response time and how many leads became visits.
This is the workflow Quick Agent runs for agencies: replies in under a minute in the client’s language, every lead logged, and a morning report at 08:00. Installation takes 7 days.
